Microsoft Bookings

Microsoft Bookings is an Office365 scheduling tool designed for booking appointments based on real-time availability for one or multiple staff.

You can access it at https://outlook.office.com/bookings/

Making a Bookings Page

  1. Head to the Microsoft Bookings homepage
  2. Click Create booking page
  3. You can either create from scratch or use a template
  4. Name your booking page
  5. Choose a business tpye for your booking page, usually select Other
  6. Add any necessary Staff, if None select Next
  7. You will have the option to set up a Service (this will be what people will schedule you for)
    1. You can edit the service name, duration, and available dates and times.
  8. You can also select who can book your appointments; this is up to your preference

Viewing Appointments in a Booking Page

To view all the meetings people have scheduled with you through Microsoft Bookings, follow these steps:

  • Open Outlook
  • Go to the Calendar section
  • Search for the title of your bookings page in the Search bar at the top of the screen
  • All meetings scheduled under that bookings page will be in the results

Viewing All Microsoft Booking Appointments

To view all meetings from every Booking page that you have, follow these steps:

  • Open Outlook
  • Go to the Calendar section
  • Select the Filter option in the Home tab in the top navigation bar
  • Deselect the Appointments, Poll Holds, and Reservation filters
  • Only your meetings across all booking pages will be displayed on the Calendar

Adding Staff

To add staff to the Microsoft Bookings page after creating it, follow these steps:

  • Click on the three dots in the Staff section on the left navigation bar

  • Click Add Staff

  • Search for the person you're trying to add and click on them

  • You can add availability hours for them, and also allow Calendar events on their Calendar to affect their availability

Managing Staff

To manage staff on the Microsoft Bookings page, follow these steps:

  • Click on the three dots in the Staff section on the left navigation bar

  • Click Manage Staff

  • You can edit the existing profiles of all your staff, as well as add new staff

Managing a booking

  • Click on the three dots next to Services, and click Manage services.

  • You can click on a service and click Edit service to update it.

  • Here you can edit basic info and scheduling info for the service. When done make sure you click Save changes.

Adding a service

  • Click on Add new service in the service management page

  • Here, you can add all basic and scheduling info for your service. Make sure when you're done adding all necessary information, you click Save changes.

Sometimes you will have to go into your Delete items bin in Outlook and manually delete the event.

This is often an issue when your timezone is not set correctly in Microsoft Bookings.
